Everything you need to know about Health & Safety so far, at Vitafoods Europe 2021

Vitafoods Europe 2021 will adhere to strict COVID-19 public safety regulations, working with the Swiss authorities and in accordance with Informa AllSecure health and safety standards. This means all visitors, exhibitors and staff will be required to adhere to critical safety measures that will be in place at the Geneva Palexpo venue. These will include:

Checks on vaccine proofs and negative tests prior to entrance
Enhanced cleaning and personal hygiene, via sanitising stations, throughout the venue
Non-contact registration, food and beverage stations and social distancing
Personal Protective Equipment (PPE) in line with local government and health authority advice. This may include wearing a face covering and the use of gloves or face screens in certain roles.

Travel: Quarantine requirements have now been lifted for most of countries; the current travel guidance from the Swiss authorities can be accessed via the Federal Office for Public Health here.
Tradeshows: There are no longer capacity limitations in tradeshows but precautionary measures governing hygiene and access restrictions must be implemented.
Restaurants: there are no longer limitations on the number of people sitting at a table (indoors and outdoors).

Current measures can change at any time, we will keep you updated if significant changes are communicated but please keep an eye on the official Swiss Authorities websites and our Event website as well.

Food Sampling
What you need to know:

Food sampling will be allowed during Vitafoods Europe 2021 with a few limitations as per below information. More details are available in the Customer Centre, under the Exhibitor Manuals section.

Allowed

Individual wrapped food items
Samples or servings needs to be done per person
Onsite cooking
Drinks only served upon request
Disposable cutlery, cups and plates for serving
Porcelain cups, plates and metal cutlery

Not allowed

NO trays or boxes of individually wrapped items for visitors to help themselves
NO buffet set ups
NO drinks pre-set up
NO creation of queueing of visitors while handing out samples on the stand

Handling of promotional materials

We strongly advice exhibitors not to take any printed material at all for the show. To minimize as many points of contacts as possible. If you have to take printed material, you will only be allowed to hand it out per item to one visitor at the time. No piles of documents or flyers should be available at the counters.

Better Stands

Informa Markets is committed to running sustainable, socially responsible events that have a limited impact on the environment.

Stands are required to use a reusable structure such as but not limited to system builds or stock panels for the main structure of their stand, in most cases this will be the stand walls.

Therefore, the creation onsite of the structure of a stand from raw materials is prohibited, such as building the structure onsite from one time use MDF or similar boards.
Additions to the main structure of the stand made from non-stock items is allowed (such as archways) but these must be made before the event and brought onsite ready for assembly, as building these items will not be permitted onsite.

Zero Waste Policy

Vitafoods Europe has a strict zero waste policy. Everything should be removed from site when you and your contractors leave the venue.

Keep waste to an absolute minimum to help reducing your environmental impact and to reduce your costs. We suggest you designate someone from your team to manage your waste both at the design stage and at the exhibition, to ensure that the materials of your stand are reduced, reused or recycled.

You are required to remove all stand fitting materials, graphics, flooring, carpet/carpet tape, packaging materials and excess literature; both throughout build-up as it occurs and then by the end of breakdown.

To save yourself significant unforeseen costs, please ensure your staff and in particular your contractors are briefed correctly by reading the materials that are stated in the Customer Centre under the 'Whats New' tab.

Event update – Informa’s AllSecure, food sampling, local guidelines and travel updates.

A demo of the Customer Centre and what you need to do to organise your onsite participation.
A demo of the Digital Event Platform; where you can update your online company profile (all exhibitors) and organise your digital participation and matchmaking for you and your team (hybrid exhibitors only).

Space Only Stand Information

Stand Design Criteria

Contractors are expected to check the presence of columns, rigging points, utilities and height restrictions on a technical floor plan before submitting stand designs. Informa Markets is not responsible for issues arising as a result of the above.

• Submittal of the proposed Stand Design(s) complex stands is required by 6th August 2021.
• Submittal of the proposed Stand Design(s) non-complex stands is required by 20th August 2021.
Stand designs must be submitted in a timely manner, in order for them to be reviewed and approved by
Abraxys

Submission Timelines

You will need to submit your Stand Design for Permission to Build before 6th August for complex stands and before 20th August for non-complex stands.

Stand plan submission can be send to vitafoods@abraxys.com and upload options are available via the Exhibitor Online Manual.

NOTE: Late submissions may incur additional fees and failure to meet more multiple deadline requests may result in permission to build a custom space only stand being removed, and alternative stand options mandated, removing the need for your services.

Making Payments

Please note that payment will only be accepted at the rate in force at the time and must accompany submission of drawings etc.

Complex stands are subject to strict venue building controls. Completed stands will require a structural engineer’s certificate to check loadings, foundations, and the Integrity of suspended items. Additional fees may be applicable for a structural engineering report or inspection.

Matchmaking

Matchmaking will be available to all hybrid exhibitors; in-person only exhibitors will not be able to access the attendees list or receive meeting invites.

The team will deliver a demo of the platform during the webinar on the 28th of July and our concierge team is already in hand to help you with enquiries you might have.

The platform will open to attendees in September when you will be able to start booking meetings with them. You will have 3 options for the meeting location:

Your stand
Online on the digital platform
Matchmaking lounge

The Matchmaking Lounge is located at stand G230 at Palexpo and it will be set up to accommodate 1-2-1 meetings.

In addition, we will be organising an Exhibitor Lounge where your staff will be able to visit during the event to work, take part in online meetings (using their devices, no equipment will be provided) and recharge. The location of the Exhibitor Lounge will be confirmed shortly.

Make use of your free marketing tools

Each exhibitor at Vitafoods Europe will have access to free marketing tools to help you promote your presence at the event. By clicking on the Dashboard button below, you will be able to access your private dashboard which allows you to:

Download web banners for social media, emails, websites with different dimensions available.
E-vite: These are ready to use and accessed through the Dashboard. You can either send individual invites or import a list using the template available. You will be able to track results such as opens and clicks.

Rebooking for Vitafoods Europe 2022

With Vitafoods Europe 2021 well on the way, we have started preparing the rebooking process for Vitafoods Europe 2022. The event will take place at Palexpo, Geneva from 10-12 May 2022. While we are finalising the exact details about the floorplan, booking process etc. I would like to check if you are the right person to receive all the communications.

Please note that this year, we will be using an online system for the Rebooking process so the person who will get access to it has to be the person with authority to sign the actual online contract as well. We are not able to add a second contact to the system.

Please submit this form to let us know who should be contacted from your company by Tuesday 20 July. If it’s you (the person who received the newsletter), there is no action required from your side. Your exhibitor ID is included on the Newsletter email.

The Digital Event Portal is available to all exhibitors (hybrid and in-person only) and it will give you the opportunity to:

Update your company profile including company description, logo, and social media links for the official Exhibitor List.
Visit the virtual Event Features, including adding digital and in-person sessions to your agenda.
Use our free co-marketing tools to promote your presence at the event.

For Hybrid Exhibitors only, in addition to the above, you will also be able to:

Browse the attendees’ list pre-event to book digital and in-person meetings.
Add products under your company profile.
Export all leads generated by your team through meetings or your company profile.
